Full Terms and Conditions
AGREEMENT.
Exhibitors, vendors, nonprofits, and other booth registrants, henceforth referred to as Exhibitors, agree to comply with the rules of Eugene PRIDE in the Park, henceforth referred to as "the Event,"as listed in this form and additional rules deemed necessary for the safe conduct of the Event and related activities. Failure to comply may cause denial of entry to the Event and/or jeopardize future participation with Eugene Pride and the Event. Your registration signals agreement and compliance with the following Rules and Regulations.
AGREEMENT MODIFICATIONS.
Eugene Pride reserves the right to adjust reservations and policies at their discretion, or as needed, in order to manage the Event.
BEVERAGES AND FOOD.
Exhibitors shall not sell, distribute, or in any way disseminate alcoholic beverages. Exhibitors may not sell food. Exhibitors may pass out pre-packaged sample foods (i.e. water bottles, snack bars, etc.). No food containing cannabis is allowed to be handed out or sold at the Event.
BOOTH ACCESS.
Eugene Pride and its agents shall have access to all booths at all times. Booth space cannot be assigned or leased by any organization other than Eugene Pride.
CANCELLATION.
The Event may be suspended or canceled in the event of strikes, threats, or acts of terrorism, bioterrorism, and war, plague, acts of civil or military unrest, flood, fire, earthquake, severe weather, COVID-19 restrictions, and other Acts of God or in the event the Event location is not available to Eugene Pride during the Event Period. In the event Eugene Pride cancels or terminates all or any portion of the Event, Exhibitors shall be obligated to pay for the Exhibitor’s space only for the period the space was or could have been used by the Exhibitor. Eugene Pride, including its agents, coordinators, officers, directors, and employees, are hereby released from any and all claims, liabilities, suits, or damages which Exhibitor may suffer or incur arising out of or in connection with the cancellation or termination of the Event, or any portion thereof, and in no event shall Eugene Pride have any liability for Exhibitor’s lost profits or consequential damages, even if advised of the possibility of such loss or damages.
CONDUCT.
Exhibitors agree to follow all Lane County and City of Eugene Parks rules and regulations.
COVID-19 SAFETY.
Exhibitors and associates must adhere to all local, state, and federal COVID-19 guidelines. Additional regulations may be implemented by Eugene Pride.
ELECTRICAL SERVICES.
A limited number of booths with electrical services are available for a fee. Electricity must be purchased through Eugene Pride prior to the event weekend. There will be no external power, generators, trailers, vans, or other such mechanical devices allowed without the express written consent of Eugene Pride.
FESTIVAL DISPLAYS.
Eugene Pride reserves the right to locate any exhibit or display where it is in the best interest of the event. Eugene Pride reserves the right to cancel any exhibit or display that is not in the best interest of the event.
GOVERNING LAWS.
This agreement shall be governed by the laws, as well as health, sanitation, parks, and fire regulations of the State of Oregon, Lane County, and the City of Eugene.
HOURS OF OPERATION.
Exhibitor’s booth(s) must be and remain fully staffed and open, Saturday, June 28, 2025, from 10:00 a.m. to 7:00 p.m. Failure to do so may result in fines and/or exclusion from future events. Exhibitors are responsible for communicating this information to those managing their booth(s). Exhibitors understand that the event will be held regardless of weather.
LIABILITY.
Exhibitor agrees to hold harmless Eugene Pride, its officers, directors, employees, agents, coordinators, representatives, successors, and assigns (collectively and individually referred to as “Indemnitee”) from any and all losses, damages, claims, suits, actions, and liabilities of any nature whatsoever incurred or suffered by Indemnitee arising out of or related to any act or omission of the Exhibitor, its employees, officers, directors, and agents, or any condition of the property of the Exhibitor in the possession of or under the control of the Exhibitor and regardless of whether the Indemnitee shall be a contributing cause of the injuries or damage.
LOAD IN & LOAD OUT.
Set up is available on Saturday morning for a limited number of exhibitors, and the majority of exhibitors will load in on Friday afternoon and evening. A schedule for load-in will be provided. No vehicles are allowed on the Event grounds. 15-min parking is permitted in the load-in area. There will be NO load-in or out allowed once the Event is open to the public, so please be on time! Merchandise and exhibitor materials may not be transported through the park while the event is open to the public. Violation of this policy may result in expulsion from the Event grounds and forfeiture of booth(s), as well as potential exclusion from future Event exhibitor opportunities. Leaving a booth empty during Event hours may result in restrictions to registration in future Events.
PAYMENT.
Exhibitors must provide payment in full for booth space by Friday, June 13, 2025. Exhibitors whose payment has not been received and processed by Eugene Pride prior to this date may lose their reservation. Payment for booth space must be received prior to load-in at the Event.
REFUND POLICY.
Refunds are assessed a $20 fee and provided on the schedule below. The refund amount is the percentage of the refund for the booth fee, minus the refund fee.

100% Refund available until May 15, 2025
50% Refund available until May 31, 2025
25% Refund available until June 1, 2025.
No refunds available after June 15, 2025.
SECURITY.
Exhibitors are responsible for the security of their own property at all times. Eugene Pride shall not be held responsible for loss, theft, or damage to any property left on the Event grounds at any time. Limited 24-hour security will be provided on Event grounds.
SIGNAGE.
Exhibitors may only display their own business signs and banners within the assigned booth space without the express written consent of Eugene Pride.
SPACE SIZE.
Exhibitors’ booths are a 10’ by 10’ space with two folding chairs and one 6’ or 8’ table. Exhibitors may reserve up to two 10’x10’ consecutive booth locations; booths must be next to each other or have written permission from Eugene Pride.
STORAGE.
There will be no storage allowed outside the booth space for any supplies, equipment, or inventory.
SUBLETTING.
No subletting of booth space shall be permitted, and Exhibitors may not share booth space without prior approval of the Planning Committee. One entity per booth unless express written consent has been given by Eugene Pride.
VIOLATIONS.
Exhibitors acknowledge that a breach of any of the terms of this Agreement may result in the termination of this Agreement and the preclusion of the Exhibitor’s participation in the Event. In the event this Agreement is terminated as a result of any breach by Exhibitor, Exhibitor shall not be entitled to any refund but shall forfeit all amounts previously paid as liquidated damages.

Eugene Pride Code of Conduct for Exhibitors, Concessions Vendors, Event Staff, Volunteers, and all persons associated with Eugene Pride or the Event:

Provide service to individuals without regard to an individual’s sexual orientation, gender identity or expression, HIV/AIDS status, race, color, national origin, ancestry, creed, or religion, sex, physical or mental abilities, age, marital status, veteran status, citizenship, or any other protected classification in accordance with state, federal, and municipal laws.

Interact with guests and each other in a respectful manner at all times and in accordance with the non-discrimination statement.

Follow all park rules, local health codes, and regulations.

Not engage in any behavior that is determined to threaten the safety of anyone participating in the Event in any capacity nor engage in any disruptive behavior that interferes with the right of anyone to conduct appropriate business or freely enjoy the Event.

Any issues of concern must be directly addressed with the appropriate Eugene Pride representative.

Eugene Pride, in its sole discretion, shall determine whether an act is unsuitable.
Acceptance of Rules & Regulations.
By submitting this application, you acknowledge the following: a) I have had the opportunity to review and will abide by this Agreement, and b) I fully understand the terms and conditions set forth herein and agree to be bound by the same.
Non-Discrimination Policy.
Eugene Pride contingents, exhibitors, concession vendors, contractors, sponsors, Eugene Pride staff and volunteers, and all personnel associated with the parade and event agree at all times to honor and abide by the following statement of non-discrimination in word and action: Anyone associated with the event, or their employees or associates in violation of this agreement will be asked to leave event grounds immediately and will forfeit all entry fees, rental fees, sponsorship fees, and deposits as applicable. Additionally, any actions taken or statements made to individuals or groups contrary to this policy or the spirit and intention of this policy are not permitted on event grounds, or in any communication associated with the event.
All persons associated with the event and Eugene Pride will provide service to individuals without regard to an individual’s sexual orientation, gender identity or expression, HIV/AIDS status, race, color, national origin, ancestry, creed, religion, sex, gender, gender presentation, physical or mental abilities, age, marital status, military status, veteran status, citizenship, or any other protected classification in accordance with state, federal, and municipal laws.

Eugene Pride does not tolerate sexism, racism, colorism, homophobia, biphobia, inter-phobia, and transphobia or hostility, anti-Semitism, Islamophobia, white supremacist activity, age discrimination, ableism, as well as other and/or intersectional forms of discrimination.
